Job Description

To assist the project leader with the creation of logistic plans / work programs with the required level of detail (e.g. daily, weekly, hr. x hr., etc.) for the planned activities; identify and list all the required activities to be executed by the project, define timing and coordinate the availability of all required material and resources to carry out the activity. 

 

Coordinate all implementation activities by facilitating the required access, materials, equipment and permits for high-risk works and, reviewing and approving the “Safe Work Plan” together with the contractor(s) or persons in charge to execute the works. Make sure that all works are performed under the latest EHS, Security and LOM requirements. 

 

Monitor, measure and report the progress of the project vs the approved schedule or program of activities based on a concept catalog, deliverables or implementation plan. Communicate with all relevant team members and stakeholders to make sure everyone is aware of current progress, obstacles and support required. 

 

Coordinate and communicate with all relevant stakeholders to schedule required tests and commissioning of facilities equipment, machines and systems (HVAC, compressed air, lighting, chilled water, electrical, BMS, special installations, etc.) by identifying dependencies, constraints, restrictions, and managing the contractor to adapt to the client’s needs and requirements. 

 

To make physical validation of the installations, equipment or construction work, based on the project schedule, and compare with the approved design or engineering to identify any deviations of the LEGO Group standards. Report and communicate compliant points and escalate deviations to the project leader and relevant stakeholders.

To perform and organize all project documentation required for each phase such as taking meeting minutes, document agreements via email and documents such as release letters, quotations, change orders, RFI, RFQ, etc. Perform document control function by archiving all relevant project documents into a designated database (e.g. SharePoint) in a standard and structured form and keep the information updated and available for the project leader and all relevant stakeholders. 

 

Document project issues (Punch List / Issue Log), actions (Action Log) and warranties in a structured and systematic way and follow up on assigned tasks to be completed on time; also, to follow-up with other tasks or actions’ responsible or contractor to provide status in timely manner. Document the current status of the actions and maintain project documentation up to date and available for the project leader and relevant stakeholders. 

 

To support WS&O Projects Area in the development of processes to structure, standardize, simplify and measure project activities aligned with the Global LPM standards and governance (metrics, KPIs, templates, graphics, visual aids, Power BI reports, etc.)
