* This role will be working full-time at LEGO Manufacturing Vietnam Project site in VSIP 3, Binh Duong.
Core Responsibilities
Focus Areas:
Facility Department Administrative Tasks
Manage the shuttle bus service, transportation and other facility services
Facility Department Events/Activities Organizing. Support the audit preparation.
Managing the PO tasks within Facility including GR tasks.

Facility Management in LMV will be a high skilled team, where we are responsible for hard services and soft services of the factory to ensure the operations is up running in the smoothest way.
Purpose and focus for this position:
The facility admin specialist position support the overall FAC activities and coordinate with other departments on certain services but not limited to such as transportation, shuttle bus, Office locker system management,…
Main Responsibilities and accountabilities of this role:
Facility Department Administrative Tasks
Provide administrative support to the facility management team. Maintain documentation, filing systems, and records for facility operations.
Coordinate communication and follow-up with vendors, suppliers, and service providers.
Assist in maintaining compliance with safety and operational standards.
Manage the Shuttle Bus Service, Transportation and Other Facility Services
Oversee the scheduling, coordination, and operation of the company’s shuttle bus services.
Liaise with transportation providers to ensure timely and efficient services for business purpose transportation
Address employee transportation concerns and adjust services as necessary.
Track service performance and manage service agreements.
Manage the office locker system
Facility Department Events/Activities Organizing. Support Audit Preparation
Plan and organize facility-related events, including staff meetings and other department activities.
Collaborate with relevant stakeholders to ensure successful execution of events.
Support the preparation for internal and external audits by gathering documentation and ensuring readiness.
Managing the Purchase Order (PO) and Goods Receipt (GR) Tasks
Handle purchase orders (POs) related to facility needs, including requisitions, approvals, and vendor management.
Ensure accurate and timely processing of goods receipt (GR) tasks.
Track facility-related expenses and maintain budget records in coordination with finance.

Do you have what it takes?
3-5 years experience in administrative roles, office management or related
Flexibility to work in a fast-paced environment and adapt to changing priorities.
Excellent time management and ability to handle multiple responsibilities.
Strong organizational and multitasking abilities with attention to detail.
Proficiency in Microsoft Office Suite and other relevant software for administrative and financial tasks.
Ability to communicate effectively and work well with teams across various departments.
Problem-solving skills and a proactive attitude toward facility management.
Familiarity with safety regulations and compliance requirements in facility management is a plus.
Good communications & presentation skills written and oral in Vietnamese and English.
Must be able to engage in several levels of the organization.
